1. Who we are
Tram Trains for Edinburgh (TTfE) is a volunteer campaign group (an unincorporated association) based in Edinburgh, Scotland. We campaign for the restoration of passenger services on the Edinburgh South Suburban Railway using tram-train technology.
As an unincorporated association, TTfE does not have a separate legal personality. The campaign operates collectively, and any references in this policy to "we", "us", or "our" refer to the TTfE campaign group.

2. What this policy covers
This policy explains how TTfE collects, uses, stores, and protects personal information provided to us through our website, survey forms, events, and membership sign-ups. It applies to all individuals who interact with the campaign.
We are committed to handling your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
3. What personal data we collect
Depending on how you engage with us, we may collect the following categories of personal data:
3.1 Identity and contact information
- Your name
- Your email address
- Your postcode or general area of residence
3.2 Travel and transport information
- How you currently travel around Edinburgh
- Which transport modes you use and how frequently
- Destinations and journey purposes (e.g., commuting, leisure, healthcare)
- Your access to a car or other private vehicle
3.3 Opinions and survey responses
- Your views on public transport in Edinburgh
- Your support for or concerns about restoring passenger services on the South Suburban Railway
- Any other comments you choose to share with us
3.4 Membership information
- Whether you wish to be kept informed of campaign developments
- Whether you wish to volunteer or become actively involved
We do not collect sensitive personal data (known under UK GDPR as "special category data") such as health information, ethnicity, religion, or political opinions — unless you choose to share this voluntarily in a free-text field. If you do, it will be treated with the same care as all other personal data.
4. How we collect your data
We collect personal data through:
- Our website at ttfe.org.uk (including survey and sign-up forms)
- Paper survey forms distributed at public events and community outreach activities
- Direct email or other correspondence you initiate with us
- Sign-up forms at public events and presentations
5. Why we collect your data and our legal basis
5.1 To understand travel needs and transport inequality in Edinburgh
We collect travel pattern data and postcodes to build an evidence base about how well-served different communities are by public transport, and to demonstrate the case for restoring passenger services on the South Suburban Railway. Our legal basis is legitimate interests (UK GDPR Article 6(1)(f)): we have a legitimate interest in gathering evidence to support a public interest campaign, and this is unlikely to override your rights given the non-commercial nature of our activity.
5.2 To keep you informed about the campaign
If you provide your email address and indicate you would like to hear from us, we will contact you with campaign updates. Our legal basis is consent (UK GDPR Article 6(1)(a)). You may withdraw consent at any time by emailing tramtrainsedi@gmail.com or clicking the unsubscribe link in any email we send.
5.3 To present aggregated findings to decision-makers and the public
Survey data is analysed in aggregate (for example, "X% of respondents in EH16 said they would use a new service"). We present findings to politicians, transport authorities, funders, the press, and the public. We will never identify individuals in published outputs without your explicit consent.
5.4 To manage campaign membership and volunteering
If you sign up as a supporter or volunteer, we use your contact details to co-ordinate campaign activities. Our legal basis is legitimate interests.
6. How we store your data
We use the following third-party processors to operate the campaign: Google Workspace (including Google Forms, Google Sheets, and Gmail) is used to collect and store survey responses, membership sign-ups, and campaign correspondence. Our processor is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, acting under Google's standard Data Processing Terms. Google Ireland Limited is the relevant entity for users in the UK and EEA.
Our website (ttfe.org.uk) is hosted by Netlify, Inc., 44 Montgomery Street, Suite 300, San Francisco, CA 94104, USA. Netlify processes web traffic data (including IP addresses) as part of standard hosting operations. Netlify participates in the EU–US Data Privacy Framework and provides appropriate safeguards for international transfers of personal data.
Our website also uses Cloudflare, Inc., 101 Townsend Street, San Francisco, CA 94107, USA, as a content delivery network and security provider. Cloudflare processes web traffic data (including IP addresses) to protect the site from malicious traffic and improve performance. Cloudflare participates in the EU–US Data Privacy Framework and provides appropriate safeguards for international data transfers.
We take reasonable precautions to protect data from unauthorised access, including restricting access to named volunteers only. We do not operate dedicated IT infrastructure and are not a commercial organisation.
Paper survey forms are stored securely and transferred to digital form promptly. Paper copies are destroyed once digitised.
7. How long we keep your data
We will retain your personal data only for as long as it is necessary for the purpose for which it was collected:
- Survey responses (anonymous aggregate analysis): retained indefinitely as statistical data, with no individual-level data retained beyond the active campaign period.
- Email addresses and membership sign-up information: retained for as long as you remain a supporter. We will prompt you to confirm your continued interest at least once every two years.
- Raw survey responses containing personal data: deleted or anonymised within 24 months of collection, or sooner if the campaign concludes.
8. Who we share your data with
We do not sell or rent your personal data to any third party.
We may share aggregated, anonymised findings (not personal data) with:
- Members of the Scottish Parliament and local councillors
- Transport Scotland, SEStran, and City of Edinburgh Council
- Journalists and media organisations covering transport in Edinburgh
- Academic researchers and transport consultants supporting the campaign
- The general public through our website and public presentations
If we need to share personal data with any third party (for example, a printing company processing paper surveys), we will ensure appropriate data processing agreements are in place.
9. Your rights
Under UK GDPR, you have the following rights:
- Right of access: you can ask us what personal data we hold about you.
- Right to rectification: you can ask us to correct inaccurate data.
- Right to erasure: you can ask us to delete your personal data ("the right to be forgotten").
- Right to restriction: you can ask us to limit how we use your data.
- Right to data portability: you can ask for your data in a structured, machine-readable format.
- Right to object: you can object to us processing your data on the basis of legitimate interests.
- Right to withdraw consent: where we rely on consent, you can withdraw it at any time without affecting the lawfulness of processing before withdrawal.
